EXPLORE THE WORKFLOW

Original generated imagery with interface overlays built from the Kalyva concept. The patient messages are illustrative.

Six places where an outpatient journey can lose clarity.

The sequence below draws on published UK guidance. It is a map of coordination problems, not a claim that Kalyva is connected to NHS or insurer systems.

06RECORD
01REFERRAL

The slot exists. The letter may not.

NHS guidance for independent providers explicitly describes appointments whose referral letter has not yet been attached and says providers need to chase the referrer.

SOURCE / NHS England Digital · independent sector provider guidance ↗
WHERE THE WORK BREAKS

A booked slot and a clinically reviewable referral are separate states.

WHAT THE INTERFACE SHOULD SHOW

Show the missing attachment, the person chasing it and whether clinical review can begin.

02BOOKING

One change can need two updates.

For indirectly bookable NHS e‑RS services, providers may need to record a booking or change in both e‑RS and their patient administration system.

SOURCE / NHS England Digital · independent sector provider guidance ↗
WHERE THE WORK BREAKS

A changed time can be correct in one place and stale in another.

WHAT THE INTERFACE SHOULD SHOW

Expose the source system, last update and an unresolved reconciliation task.

03CLINICAL REVIEW

Triage needs clinical judgement.

NHS e‑RS provider guidance separates clinical review from administrative booking work. The referral must be reviewed by an appropriate clinician.

SOURCE / NHS England Digital · provider best practice ↗
WHERE THE WORK BREAKS

A coordinator can route a case; a coloured badge cannot decide clinical suitability.

WHAT THE INTERFACE SHOULD SHOW

Keep the clinician decision and its recorded reason distinct from admin progress.

04FUNDING

Cover is a conversation, not a green API light.

Bupa's referral guidance tells insured patients to contact Bupa to pre-authorise a consultation or treatment and check policy cover.

SOURCE / Bupa · referring an insured patient ↗
WHERE THE WORK BREAKS

The clinic may be waiting on a patient or insurer even when the appointment is pencilled in.

WHAT THE INTERFACE SHOULD SHOW

Record who is expected to act, what was confirmed and what remains open.

05PREPARATION

Patients need specific, understandable preparation.

Outpatient guidance asks patients to bring medication information. CQC guidance treats consent as an informed, continuing process.

SOURCE / Cambridge University Hospitals · before your appointment ↗
WHERE THE WORK BREAKS

A completed checklist does not replace a clinical conversation or consent.

WHAT THE INTERFACE SHOULD SHOW

Make the requested item clear, leave clinical instructions with the care team and show when a reply needs review.

06RECORD

A useful timeline must also be a careful record.

CQC Regulation 17 calls for secure, accurate and contemporaneous records. ICO guidance classifies health data as special category data.

SOURCE / CQC · Regulation 17 good governance ↗
WHERE THE WORK BREAKS

A shared dashboard needs clear ownership, access boundaries and traceable updates.

WHAT THE INTERFACE SHOULD SHOW

Separate the coordination view from the clinical record and make each decision's owner and time visible.

PATHWAY BOUNDARY

NHS e‑RS examples above concern eligible NHS-funded services, including independent providers. Kalyva's illustrated private-pay and insured clinic is a separate concept. Real access, integration and clinical governance would require provider-specific validation.

CLIENT PROJECT · 2026

01The problem we chose

An outpatient visit depends on several small decisions made by different people. A referral may be waiting for review while funding, preparation and room allocation progress elsewhere. The design challenge was to make those handoffs visible without turning the patient into a row of administrative labels.

This client project uses fictional clinic scenarios and sample records to demonstrate the product and identity. The illustrated workflow does not represent access to a real clinic's systems or records.

02What the interface does

The coordinator view puts the next decision beside each case. Status, owner and timing are readable together; a selected case reveals the details without leaving the queue. Patients see plain language, while staff see the operational state.

Warm alabaster, deep mulberry and editorial typography give the brand a quiet presence. The dense workspace uses tighter type and clearer status colour so urgent work remains legible.
